Terms of Use
Version 1.5 — Effective 30 August 2026
1. Acceptance
These Terms apply to the GymBuddiesTM website, GymBuddiesTM Society, GymBuddiesTM Trainer and GymBuddiesTM Arena (when available). If you do not agree, do not use the service.
Registered app users must actively accept the applicable Terms of Use and acknowledge the Privacy Policy through an unchecked click-to-accept control. We record the user, app or surface, Terms version, Privacy Policy version and server timestamp as evidence of acceptance. A new acceptance may be required when a policy version changes.
2. Early access and registration
Joining the GymBuddiesTM early-access waitlist does not guarantee an invitation or access to any product. We invite users in limited cohorts based on fit, readiness and available capacity. We reserve the right to decline, defer or revoke access at our discretion.
3. Facility booking and access
Facility bookings made through GymBuddiesTM Society are subject to your society's booking rules, fair-use limits and actual on-site conditions. A confirmed booking in the app does not override society rules or on-site management decisions. Facility access remains subject to society rules and actual on-site conditions at all times.
4. Capacity indicators
Where live capacity indicators are displayed, they are based on check-in data and may not reflect actual physical attendance at all times. You must not rely on capacity information as a guaranteed real-time count. Always verify facility availability on-site.
5. Equipment and faulty equipment
Equipment reported as faulty or marked as temporarily unavailable must not be used until it has been marked as resolved by an authorised administrator. Using faulty equipment is at your own risk. GymBuddiesTM is not responsible for injuries resulting from misuse or unauthorised use of faulty equipment.
6. Tutorials and equipment guidance
Equipment tutorials and facility walkthroughs available on GymBuddiesTM Society provide general guidance only. They do not constitute professional fitness instruction, medical advice or supervision by a qualified trainer. Always follow the equipment manufacturer's official instructions and seek advice from a qualified professional where appropriate.
7. Reporting
The reporting feature in GymBuddiesTM Society is provided for legitimate reports of equipment faults, unsafe conditions and genuine facility concerns. You must not use the reporting feature to:
- Submit false, misleading or fabricated reports.
- Harass, target or make unfounded allegations against other residents, trainers or administrators.
- Spam or flood the system with duplicate reports.
Administrators may investigate and moderate reports where reasonably necessary. Misuse of the reporting feature may result in suspension or removal of access.
8. Challenges, competitions and tournaments
Where Society or Arena Challenges, competitions or Tournaments are available, participation is subject to the eligibility, joining, withdrawal, validation and result rules displayed for that activity. You must not misrepresent your eligibility, progress, match result or participation.
GymBuddies may provide ranking, validation, dispute-resolution and finalisation workflows, but does not guarantee that participants will reach a target or win an activity. Arena does not administer cash prizes, wagering or gambling through these features.
9. Personal-training privacy
Private personal-training bookings are accessible only to the resident and their trainer. Society administrators may not access or cancel residents' private personal-training sessions. Trainers may access only the information required to manage their own sessions.
10. Independent Trainers
Trainers listed, discovered, contacted or booked through GymBuddiesTM are independent service providers. They are not employees, agents, representatives or personnel of DXB Rianessence Services LLP ("GymBuddies"). GymBuddies does not control or supervise the manner in which a Trainer provides training services.
Any training arrangement is entered into directly between the Trainer and the client. GymBuddies provides technology that may facilitate discovery, communication, scheduling and related platform functions.
11. Trainer conduct and suitability
GymBuddies does not guarantee the character, behaviour, suitability, fitness, competence, safety or conduct of any Trainer.
Any profile review, document check, Society approval, badge or status displayed through GymBuddies relates only to the specific information or documentation stated in the service and must not be interpreted as a guarantee of the Trainer's character, future conduct or suitability for any particular person.
Clients should exercise their own judgement when selecting and interacting with a Trainer.
12. Society-approved Trainers
Where a Trainer is shown as approved or permitted by a housing society, such approval is provided by the relevant Society or its authorised administrators and not by GymBuddies.
The Society is responsible for determining the checks, documentation, qualifications, identity verification, facility-access requirements and other criteria it considers appropriate before approving or continuing to permit a Trainer to operate within its facilities.
GymBuddies provides the technology through which the Society may perform and record these actions but does not assume responsibility for the Society's decision to approve, reject, suspend or continue permitting a Trainer.
13. Trainer conduct — limitation
To the maximum extent permitted by applicable law, GymBuddies shall not be responsible for any act, omission, misconduct, negligence, harassment, inappropriate behaviour, criminal act, representation or other conduct of a Trainer, or for disputes arising directly between a Trainer and a client.
GymBuddies remains responsible for its own obligations under these Terms, and nothing in these Terms excludes liability that cannot lawfully be excluded.
14. Trainer indemnity
Each Trainer agrees to indemnify and hold harmless DXB Rianessence Services LLP, GymBuddies and their partners, officers and personnel from claims, losses, liabilities, damages, costs and reasonable legal expenses arising from or relating to:
- the Trainer's acts or omissions in providing training services;
- misconduct, negligence or unlawful conduct by the Trainer;
- injury or loss caused by the Trainer to a client or third party, except to the extent caused by GymBuddies' own acts or omissions;
- false or misleading information or documents supplied by the Trainer; or
- the Trainer's breach of applicable law or these Terms.
15. Society Trainer-approval indemnity
The Society acknowledges that decisions concerning the approval, verification, facility access, suspension and continued permission of Trainers within the Society are made by the Society and its authorised administrators.
To the maximum extent permitted by law, the Society agrees to indemnify and hold harmless GymBuddies from third-party claims arising directly from the Society's negligent approval, verification or continued authorisation of a Trainer, except to the extent that such claim results from GymBuddies' own breach, negligence or unlawful conduct.
16. Arena membership and community
Arena membership is specific to the applicable venue. Joining one Arena does not grant access to another Arena or to a Society. Arena Owners and Admins may manage membership and staff access in accordance with the service rules and legitimate operational needs.
Arena community features may include Buddies, Groups, announcements, Challenges and Tournaments. You must not misuse these features to harass other users, submit false results, impersonate another person, spam the service or engage in unlawful or abusive conduct.
GymBuddies and authorised Arena roles may investigate misuse and take reasonable action, including restricting access, removing participation records or correcting competition results where required.
17. Arena facilities, bookings, payments and Trainers
Arena may display facilities and member booking records. At launch, booking creation is restricted to authorised Owner, Admin or Staff roles; ordinary members do not create Arena bookings directly.
Arena payment records are informational operational records. GymBuddies does not act as a payment gateway, escrow holder or payout processor for those recorded amounts.
Trainers connect to Arena through GymBuddies™ Trainer. Arena assignments remain separate from Society assignments and other organisation contexts.
Trainer workout templates, session plans, exercise records, weights, notes and private-client information are not Arena administrative records and are not made available to Arena Owners/Admins merely because the Trainer is connected to the Arena.
18. Planned and phased features
Features described as "planned", "in development", "launch scope", "coming soon" or "available where enabled" may not yet be live or may depend on configuration, testing cohort or organisation setup. We make no commitment to a specific launch date for such features and may modify or discontinue them before general release.
19. Payments
At launch, GymBuddies does not act as escrow or payout processor for Trainer session fees or Arena Challenge/Tournament prizes. Where a workflow records a manual payment status, that status is informational. Any GymBuddies platform charges or future payment-enabled feature will disclose the applicable fee and transaction terms before payment is initiated.
20. User-uploaded content and media
You remain responsible for photographs, images, videos, text and other content that you upload, submit, publish or otherwise make available through GymBuddiesTM, including profile photographs and content used for Events, Activities, Groups, Challenges, Tournaments, facilities, walkthroughs, reports or other community and service features ("User Content").
You must ensure that you own the User Content or have all licences, permissions, consents and other rights required to upload and use it through GymBuddiesTM. This includes any copyright, trademark, privacy, publicity, personality or other rights of people or third parties appearing in or connected with the User Content.
By uploading User Content, you grant DXB Rianessence Services LLP a non-exclusive, royalty-free licence to host, store, reproduce, resize, compress, create technical derivatives or thumbnails of, cache, transmit and display that User Content only as reasonably necessary to operate, secure and provide the GymBuddiesTM services and the features through which you chose to share it. This licence does not transfer ownership of your User Content to us.
GymBuddiesTM does not routinely pre-screen, verify or clear copyright ownership, permissions or other third-party rights in User Content. To the maximum extent permitted by applicable law, DXB Rianessence Services LLP and GymBuddiesTM are not responsible for infringement or other claims arising from User Content uploaded by users, except to the extent caused by our own unlawful conduct or breach of applicable law.
We may remove, restrict, disable or preserve access to User Content where we reasonably believe it may infringe rights, violate these Terms or applicable law, create a safety or security risk, or where we receive a credible complaint or lawful request. We may also request information from the uploader to establish the right to use the content.
If you believe User Content available through GymBuddiesTM infringes your copyright or other rights, contact support@gymbuddies.in with enough information for us to identify the content and understand the basis of your complaint.
To the maximum extent permitted by law, you agree to indemnify and hold harmless DXB Rianessence Services LLP, GymBuddies and their partners, officers and personnel from third-party claims, losses, liabilities, damages, costs and reasonable legal expenses arising from User Content you upload or from your failure to obtain the rights or permissions required for that User Content, except to the extent caused by GymBuddies' own breach, negligence or unlawful conduct.
21. Acceptable use
You agree not to:
- Use the service for any unlawful purpose or in a way that violates these terms.
- Upload, publish or share content that infringes copyright, trademark, privacy, publicity or other rights of another person or organisation.
- Attempt to gain unauthorised access to any part of the service or to other users' information.
- Interfere with or disrupt the service or its infrastructure.
- Use the service to transmit harmful, abusive or objectionable content.
22. Limitation of liability
To the extent permitted by law, GymBuddiesTM and DXB RIANESSENCE SERVICES LLP shall not be liable for any indirect, incidental, special or consequential loss or damage arising from your use of the service, including loss arising from reliance on capacity indicators, facility availability, tutorial content, equipment status information or User Content. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.
23. Governing law
These terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of Hyderabad, Telangana.

25. Transfer of rights and operations
DXB Rianessence Services LLP may transfer the ownership or operation of GymBuddiesTM, together with its rights and obligations under these Terms, to another company, LLP, affiliate or successor entity. From the effective date communicated to you, that entity will become the operator of GymBuddiesTM and your contracting service provider. We will notify you of the transfer through the app, by email or another reasonable method. Any associated transfer of personal data will be handled in accordance with our Privacy Policy and applicable law, and the transfer will not affect rights or claims that accrued before the effective date.
26. Account deletion
You may request deletion of your account through the available in-app account-deletion option or by following the steps on our Account deletion page. Deletion is subject to identity verification, resolution of active responsibilities, and limited retention where required for legal, financial, safety, security or audit purposes. Historical Challenge or Tournament records may be anonymised rather than removed where deletion would otherwise make completed results inaccurate.
27. Trademark notice
“GYMBUDDIES™” is a trademark of Rajeev Nair and is used by DXB Rianessence Services LLP under licence.
The GymBuddies logo and associated device mark(s) are trademarks of DXB Rianessence Services LLP. All rights in the GymBuddies logo, including its design, visual identity and associated brand elements owned by DXB Rianessence Services LLP, are reserved.
Nothing contained on this website, in the GymBuddies applications, or in any related materials should be construed as granting any licence or right to use the GYMBUDDIES™ word mark, the GymBuddies logo, or any related trademarks except with the prior written permission of the respective trademark owner.
Any authorised use of the GYMBUDDIES™ word mark by DXB Rianessence Services LLP is made pursuant to licence from Rajeev Nair.
28. Changes
We may update these terms from time to time. We will notify registered users of material changes. Where a new acceptance is required, app users will be asked to actively accept the new Terms version before continuing to use authenticated features.
